How to get out of Attachment Hell – Set Up Project Workspaces

Working with email and email clients like MS Outlook has been a practice that many businesses have used for a better part of this past decade, especially for the business person on-the-go.  As the dependency has grown, so has the clutter.  Emails that go back and forth to clients, partners and co-workers have caused a virtual traffic jam where productivity and efficiency have dipped and performance is reliant upon how fast one can sort through their inbox filled with thousands of emails.

Many times, important documents are housed solely as an attachment to an email lost in those thousands of emails or even worse, housed in dozens of places because a central location hasn’t been established.  Multiple versions are created and emailed back and forth while the most recent version may be drowned in some inbox of an employee on vacation.  Creating a Project Workspace in a tool like Central Desktop can be a solution to the
clutter problem.

  • The Collaboration Software Solution – Creating a central location such as a Project Workspace where a team can refer to regularly creates a solution for less clutter and more productivity.  This allows for centralized document management where a team can efficiently collaborate on documents from draft to finalized versions.
  • The Project Workspace Solution – A Project Workspace is a centralized location where a team can collaborate on a project with discussions and file management.  This allows for a team, department or an entire company to log into a common area to find all documents, discussion, files, and tasks related to a particular project.  Instead of trying to locate that all important file in a lost email, one just needs to log in and navigate to the designated Project Workspace and always find the most recent version.  Clutter solved!  A team can even communicate and collaborate with outside vendors or clients with online solutions such as Central Desktop.  Click here to find out how to set up a Project Workspace in Central Desktop.

The shift from email attachments to an online collaboration tool is an adjustment, but the end result produces a streamlined, efficient workflow that will increase productivity.  The project team can now focus on the work at hand rather than wasting time on email clutter.

  1. i am curious. is there a way within CD to make custom forms for people to use in a workflow situation that then submits with a trigger, auto-response and then places info request into a type of list?
